# Alibaba Mail Email Management Console Guide

## Step-by-Step Instructions

### Move Emails

**Navigation**: Mail > Inbox > Select Email(s) > Move

1. Select an email and click the **Move** button
   - Element: **Move** (button) — top-right corner of email list

2. Click the **Select All** button at the bottom of the page
   - Element: **Select All** (button) — bottom of email list
   - Notes: This selects all emails visible on the current page

3. Click the **More** button next to the folder you want to move
   - Element: **More** (button) — right side of folder name
   - Notes: Appears when hovering over a folder

4. Click the **Move All Emails** option
   - Element: **Move All Emails** (link) — dropdown menu under More

5. Select the destination folder

### Print Email

**Navigation**: Alibaba Mail Web Client > Open Email > Click More Button > Print Email

**Prerequisites**:
- Logged in to the Alibaba Mail web client

1. Log on to the **Alibaba Mail web client** and open the email that you want to print

2. Right-click in the email body or click the **More button**, then select Print Email from the menu

### Schedule Email Delivery

**Navigation**: Console > Mail > Drafts > Schedule Send

**Prerequisites**:
- An active Alibaba Cloud Mail account
- Access to the web console

1. Click **More Options** below the composition box and select Schedule Send
   - Element: **More Options** (link) — below the composition box

2. Select a time on the settings page and click OK
   - Element: **Schedule Send** (menu) — settings page

3. Click the **Send** button after composing the email
   - Element: **Send** (button) — top-right corner of the compose window
   - Notes: The email is saved to the Drafts folder and will be delivered at the scheduled time.

4. View the Drafts folder and identify the scheduled email by the **clock icon**

   - Notes: This icon appears only on scheduled emails, not regular drafts.

5. Click **Clear Schedule** to cancel a scheduled send before delivery

### View Email Conversations

### View Unread Emails

**Navigation**: Mail > Unread

1. Navigate to the **Unread** folder

2. View all unread emails

   - Notes: The number in red indicates the total count of unread emails.

### Set Mailbox Nickname

**Navigation**: Settings > Account & Security > Account Information

1. Log on to the Alibaba Mail web client and click the **Settings** icon in the upper-right corner

2. On the Settings page, choose **Account & Security > Account Information**
   - Element: **Account & Security** (menu) — left navigation panel

3. On the Account Information page, select the **Use custom name** radio button and enter a custom sender name

   - Notes: The recipient's email client may prioritize displaying the name from their address book. To verify that the nickname setting has taken effect, you can check the decoded 'From' field in the raw email source.

4. Click **Save**

5. The sender name is displayed as the mailbox nickname only for emails sent outside the organization
   - Notes: Internal emails within the organization will show the default mailbox name.

### Set Default Sender Email

1. Log on to the Alibaba Mail web client and click **Compose**

2. On the New Mail page, click your email address and select the desired sender address from the list

   - Notes: A dropdown list appears showing all associated sender addresses

3. Click the **Settings** icon in the upper-right corner

4. Choose **Account & Security > Account Information** from the menu

5. Select a default sender address and click **Save**

### Manage Email and Calendar via AI

**Navigation**: Mail Settings > MCP Service

**Prerequisites**:
- AI Premium Edition subscription
- Valid token generated from Alibaba Mail MCP settings
- Access to the target AI assistant platform (e.g., DingTalk, Model Studio, Tongyi Lingma, Wukong)

1. Navigate to **Mail Settings > MCP Service**
   - Element: **Mail Settings** (menu) — left navigation panel

2. Generate a token
   - Element: **Generate Token** (button) — main content area
   - Notes: Copy the token or JSON configuration for use in external AI platforms

3. Configure the MCP client in an external AI assistant

   - Notes: Follow platform-specific instructions; ensure correct header format (Authorization: Bearer <token>)

### Set Up Email Forwarding

**Navigation**: Settings > Mailbox Settings > Automatic Forwarding / Incoming Mail Rules

**Prerequisites**:
- A secure phone must be linked for identity verification
- The Free Edition of Alibaba Mail does not support automatic forwarding
- Administrator permission required if forwarding is disabled

1. Navigate to the **Automatic Forwarding** section
   - Element: **Settings &gt; Mailbox Settings &gt; Automatic Forwarding &gt; Add Forwarding Email Address** (link) — left navigation panel

2. Complete identity verification if a secure phone is linked
   - Element: **Get Dynamic Password** (button) — main content area
   - Notes: Enter the dynamic password received via SMS and click Next.

3. Add the forwarding email address

4. Select an action for forwarded emails

5. Log in to the forwarding mailbox and click the **validation link**

6. Refresh the Automatic Forwarding page to confirm status

   - Notes: Status should change to 'Validation Successful'.

7. Create a new incoming mail rule

8. Set conditions for incoming emails

1. Log on to the Alibaba Mail web client and navigate to mailbox settings

3. Click **Add Other Mailbox** to start configuring a new mailbox

4. Configure POP server settings either via auto-detect or manual entry

### Set Vacation Reply

### Set Out-of-Office Reply

**Navigation**: Mail > Settings > Out-of-Office Reply

**Prerequisites**:
- User must be logged into their Alibaba Mail account
- User must have access to mailbox settings

1. Navigate to the **Out-of-Office Reply** settings page
   - Element: **Out-of-Office Reply** (link) — left navigation panel under Settings

2. Toggle the out-of-office reply on
   - Element: **Turn On** (toggle) — top of the settings section
   - Notes: The toggle will only be available if the user is not currently in an active out-of-office period.

3. Set the start and end dates for the out-of-office period
   - Element: **Start Date** (date_input) — main content area
   - Notes: The end date must be after the start date. If no end date is set, the reply remains active until manually turned off.

4. Enter the custom message to be sent to incoming emails
   - Element: **Custom Message** (text_input) — text area below the date fields
   - Notes: The message can include HTML formatting and links. Maximum length: 500 characters.

1. Log on to the Alibaba Mail web client and navigate to settings
   - Element: **Settings** (link) — upper-right corner

2. Click **See more settings** from the dropdown menu

3. Navigate to the **POP and IMAP** settings page

### Adjust Mail Rule Priority

**Navigation**: Mail > Rules > Incoming Mail Rules

**Prerequisites**:
- Logged into Alibaba Mail web client
- At least one incoming mail rule already created

1. Hover the mouse over an incoming mail rule
   - Element: **Move up** (button) — right side of the rule entry
   - Notes: The 'Move up' and 'Move down' icons appear only when hovering over a rule.

2. Click the **Move up** button to increase the rule's priority
   - Element: **Move up** (button) — right side of the rule entry
   - Notes: Clicking 'Move up' shifts the rule one position higher in the list.

3. Click the **Move down** button to decrease the rule's priority
   - Element: **Move down** (button) — right side of the rule entry
   - Notes: Clicking 'Move down' shifts the rule one position lower in the list.

### Create Inbox Rule

**Navigation**: Settings > Mailbox Settings > Inbox Rules

1. Log on to the Alibaba Mail web portal

2. Choose **Mailbox Settings > Inbox Rules**

3. Click **Create New Inbox Rule**

### Categorize Historical Emails

**Navigation**: Settings > Mailbox Settings > Incoming Mail Rules

1. Log on to Alibaba Mail and navigate to the **Incoming Mail Rules** section

2. Select the rule to execute

5. Choose one or more actions to apply when the rule is triggered

6. Click **Save** to activate the rule

### Set Reply-To Address

2. Set the reply-to address

### Request Read Receipt

**Navigation**: Console > Alibaba Mail > Compose > More Options > Request Read Receipt

**Prerequisites**:
- Access to Alibaba Mail web client
- Login with valid enterprise account

1. Click **Compose** in the upper-left corner

3. Check the **Request Read Receipt** option
